Create pricing rules
Build Advanced pricing rulesets for seasons, weekends, and free pickup or return days. Preview the day-by-day math before turning them on, and read the breakdown on your orders.
Your rate card is what a tote costs on an ordinary day. Pricing rulesets change that rate for particular days: summer costs more, weekends cost less, the pickup day is free if the customer collects early. One ruleset can hold all of them, in order.
Where rulesets live
Go to Settings, then Advanced pricing, then Pricing rulesets. This is Growth-plan territory and up: on Starter you can write rulesets and preview them, but they stay inert until your workspace is on Growth or Custom and advanced pricing is activated. Preview is always safe. It never touches real quotes.
Building a ruleset
Click New pricing ruleset and fill in the header:
- Ruleset name: something your future self will understand, like "Summer weekends 2026."
- Description: optional, for the rest of the team.
- Scope: Business default (all pools) applies to every pool, or pick one pool for a product ruleset. A product ruleset overrides the business default for that pool.
- Locations: leave every box unchecked to cover all locations.
Then add the rules. A ruleset has two stages, and the order matters: charge-period rules run first, then price-adjustment rules.
Stage 1: Adjust charge period
These change which days are charged, without touching the price. Rules apply in order, and the first matching rule per direction wins.
- Charge full pickup day: charge the whole day if pickup is before a Time threshold. Leave the threshold blank and it always applies.
- Do not charge pickup day: skip the pickup day if pickup is after a time.
- Charge full return day and Do not charge return day: the same pair for the return end.
- Do not charge for certain days of the week: pick the Weekdays that are never charged, like Sunday.
Stage 2: Adjust price rules
These raise or lower the price for certain dates or days, after the charge-period rules have run.
- Range of dates: pick Starts on and Ends on. This is your seasonal pricing. July 1 through August 31 at 120 percent of the daily rate is a range-of-dates rule.
- Range of days: pick the Weekdays. This is your weekend pricing. Saturday and Sunday at 80 percent of the daily rate is a range-of-days rule.
For each rule, choose how the price changes: Percent of daily rate (100 = no change) or Exact daily price ($). Tick Compound over the result of the previous rule to stack a rule on top of the one before it. Leave it unticked and the rule applies to the untouched base price for that day, ignoring earlier adjustments.
Save with Save ruleset, or Cancel to throw it away.
Why rules cannot overlap
Exactly one enabled ruleset applies per scope. If you try to save a second enabled ruleset for the same pool (or the business default) covering the same locations, the save is rejected: an enabled ruleset already covers those locations. Disabled and archived rulesets never conflict, and a product ruleset never conflicts with the business default because they are different scopes.
So: want different weekend pricing at two locations? Either leave locations unchecked so one ruleset covers both, or write one ruleset per location with non-overlapping location boxes. The guard is doing you a favor. Two rulesets fighting over the same dates would produce whichever answer the database returned first, and you would find out from a customer.
Previewing before you turn it on
Every ruleset page has a Live preview panel. Pick a Pool, a Location, a Start and End date, a Qty, and the Pickup time and Return time, and the preview runs the engine against your unsaved draft merged with your saved rulesets.
The preview shows a total ($X per unit, $Y line) and a day-by-day table: Date, Base, Adjustments, Effective. Days dropped by a charge-period rule are shown with a note like "(not charged — pickup day is free)." Walk a full week and a seasonal boundary through it before you enable anything. The preview is the cheapest place to catch a threshold typo.
Turn the ruleset on with Enable on its row, and activate the whole system with the Activate button at the top. Advanced pricing then applies to new daily rate-card quotes. It never reprices existing orders.
The breakdown on orders
On any order, a line priced by advanced pricing carries a Staff pricing breakdown underneath it: "X chargeable of Y rental days · unit $Z · line $W," then the same day table you saw in preview. When a customer asks why Tuesday cost more than Thursday, this is your answer, row by row.
At checkout, customers see their line totals, not the day-by-day math. If a total looks wrong to a customer, open the order and read the breakdown yourself before you change anything.
Failure modes
- Saving is rejected: an enabled ruleset already covers overlapping locations for this scope. Disable or archive the old ruleset, or narrow the location boxes so they do not overlap.
- The preview shows no adjustments at all. Your dates do not fall inside the rule's window. Extend the Starts on / Ends on range, or check the Weekdays.
- You enabled everything and old orders did not change. Expected. Rules apply to new quotes only. Existing orders keep the price they were quoted.
