Manage your OnTote subscription and billing

The plans, how to open the billing portal, and what a lapsed subscription does to your storefront (nothing to your data).

The plans

Each plan is billed monthly or yearly. No percentage of bookings and no contract. Current prices are on the pricing page.

  • Starter: 10 online orders a month included, 1 location.
  • Growth: 30 online orders a month included, 3 locations.
  • Custom: negotiated price and allowance. Set up through a conversation with OnTote.

Online orders past the allowance are still taken. They are billed as extra orders after your monthly period, on a separate invoice, and the charge is capped each month. Orders you enter yourself in the dashboard, or import, never count.

Open your Subscription page

The fastest way in is the banner's See plans link during your trial. Otherwise, open Settings and go to Account and billing → Subscription. The page shows your plan, the price, and the status of your card. During a trial it also reads "Your free trial ends {date}." Only the workspace owner can change billing; everyone else sees a note saying exactly that.

Change your card or plan

1. On the Subscription page, click Manage billing. This opens a Stripe-hosted billing page in a new tab (your card details live with Stripe, not with OnTote).

2. Update the card or change the plan there.

Two timing rules worth knowing before you click:

  • Upgrades take effect immediately and are prorated.
  • Changing to Starter takes effect at the end of the billing period. The page lists the Growth features that turn off then, so you can check before you commit.

A lapsed subscription stops new online orders, and nothing else

This is the part people worry about, so here is the plain version. A subscription is lapsed when its Stripe status is unpaid, paused, or canceled (for example, a trial that ended with no card on file, which pauses). When that happens:

  • Your storefront stops taking new online orders. Customers see a message that the store is not taking online orders right now.
  • Plan features turn off.
  • Your dashboard, your data, and your existing reservations are not affected. Nothing is deleted, and you can still fulfill orders you already took.

Two things that are not a lapse: past_due and having no subscription at all yet. If a card payment fails, Stripe retries the card on its own and the Subscription page shows a warning; update the card in Manage billing and you are back. If a subscription was canceled outright, you start a new one by contacting OnTote, from the link on the page.

If something goes wrong

  • "Manage billing" opens an error: close the tab and click it again from the Subscription page. If it still fails, the error on the page says what Stripe needs.
  • You added a card but orders still won't go through: give it a few minutes for Stripe to report back, then check the Subscription page status. If it still reads lapsed, contact OnTote.
  • A card payment failed: expect a past_due warning, not a shutdown. Update the card in Manage billing; Stripe retries automatically.
