Set up your products: totes, variants, goods and services
Add rental products, goods, and services to your inventory, group sizes and colors as variants, add photos, and find or bulk-edit products fast.
Your inventory holds three kinds of things: what customers rent and return, what they buy and keep, and what you do for them. Getting this split right up front saves you from re-entering everything later.
What you are adding
Click Add product on Inventory and pick one of Rental product, Item for sale, Service, or Package. The new-product page asks What are you adding? and offers six kinds:
- Rentable tote: reusable totes customers return. This is a tote pool: you rent it by the count, and individual totes are tracked by serial code inside it.
- Rentable item: equipment customers borrow and return, like a moving dolly.
- Tote for sale: totes customers keep.
- Item for sale: supplies and goods customers keep, like bubble wrap.
- Service: work you perform for customers, like packing help. Services never track stock.
- Package: a bundle of rentals, goods, and services sold as one offering. Only owners and managers can create these.
Rental products are priced per unit of time and have availability. Goods and services are flat: the customer pays once and the price does not change with the rental length. The wrong kind is the wrong kind forever, so pause here and pick carefully. You can rename a product later, but you cannot turn a rental into a good for sale.
Grouping sizes and colors as variants
If several pools are really one product with choices (a 102L and a 120L moving tote, or the same tote in two colors), group them under a product group instead of listing each separately.
Manage groups in Settings under Product groups. The storefront then shows the group once: a variant picker on catalog cards, and one block with a quantity row per variant on the booking page. The rate and the reserve link follow whichever variant the customer picks, but the booking itself stays tied to the specific variant pool, so availability and inventory never get confused.
Once dates are picked, a variant with nothing left for that window shows as disabled, not hidden. Customers see it exists and that it is unavailable for their dates. In the cart, at checkout, and in order lines, a grouped item reads "Group — Variant" (for example, "Moving tote — 102L").
Photos
Each product takes up to 8 photos, managed in its Photos section. Click Add photos to upload (JPEG, PNG, WebP, AVIF, and GIF are accepted). The first photo is the Primary one customers see first; use Make primary on any other photo to swap it. Remove deletes a photo after a confirmation.
If you try to add a ninth photo, the editor stops you. And if a pool belongs to a product group and has no photos of its own, the storefront shows the group's photos instead.
Use real photos of your actual totes. A phone picture of the tote in your garage beats a stock image, because customers are judging whether you are a real business.
Finding and sorting products
The Products tab has a search box (Search inventory), a Filter by category dropdown, and a Filter by product type dropdown with All types, Rental, Sale, and Service. Sort the list with Sort products by: Name, Product type, or SKU, then flip the direction with the arrow button.
This matters more than it looks. When you have 40 pools and 15 services, the fastest way to price-check everything before a season is the type filter, not scrolling.
Bulk editing price, quantity, and status
Tick the checkboxes on any rows, then open the Actions menu. You can Change price…, Adjust stock…, Activate, or Deactivate. Price changes and stock changes ask which location they apply to. Status changes apply at every location.
- Change price… lets you Adjust by % (a 10 percent seasonal bump across 30 pools takes one screen) or Set to $ (a flat new rate). A preview table shows the new price for each row before you commit.
- Adjust stock… asks for a Quantity change (positive to add, negative to remove), a Reason (recount, found, purchased, damaged write-off, lost write-off, retired, or other), and optional Notes.
- Activate and Deactivate flip products in and out of circulation without deleting history.
You can select up to 200 products at a time. Rows that cannot take the change are listed with the reason, and you get "X updated, Y failed" when it finishes.
Failure modes
- You added a product and it is not on your storefront. Products without a rate cannot be published; the row tells you to set a price first. Price it on the Store front screen, then publish.
- Bulk edit says a row was rejected: "Not priced at this location." Price edits apply per location. Open that product, set its rate for the location you picked, and run the bulk edit again.
- The Package option is missing from the Add product menu. Packages require the manage-packages permission. Ask an owner or manager.
