Give regular customers automatic discounts and deposit waivers
Save a standing discount and deposit rule on a customer record so they apply to every order automatically.
For customers who order often, you can set terms once instead of adjusting every order. A standing discount takes a percent off their line items automatically, and a deposit rule decides what security deposit they pay (or whether they pay one at all). Both apply to every order from that customer until you change them.
Only managers and owners can change a customer's discount and deposit terms. These settings live on the customer record, so they follow the customer across all locations.
Save a discount on the customer record
1. Open Customers and find the customer.
2. Edit the record.
3. Enter a number in Discount (%). Zero means no discount.
4. Save.
The discount applies automatically at checkout and on orders you create for them. You do not enter it per order.
Save a deposit rule on the customer record
The Security Deposit section on the customer record controls what that customer owes as a deposit.
1. Open Customers and find the customer.
2. Edit the record.
3. In Security Deposit, choose one of:
- Workspace default: the customer pays whatever your default deposit rules require. This is the starting point for everyone.
- Waive deposit: check Waive deposit to skip the deposit entirely for this customer. The record shows a Deposit waived chip.
- Percent of order: the customer pays a percent of the order total as a deposit. Enter it in Deposit percentage (%).
- Fixed amount per order: the customer pays a flat amount per order. Enter it in Deposit amount ($).
- Order amount: the deposit equals the full order amount.
4. Save.
A waived deposit means nothing is charged and nothing is held. Percent and order-amount deposits are calculated on the post-discount order total, so the deposit already reflects any discount the customer earned.
How this stacks with coupon codes
It does not. A coupon code and an account discount cannot be combined on the same order.
When a customer with an account discount types a coupon code at checkout, the code is refused and the page shows: "This code can't be combined with your account discount." The customer's account discount still applies. This is expected behavior, not an error: the rule is that a code never replaces or adds to an automatic discount.
So set your policy accordingly. If a regular customer brings you a coupon code, one of the two discounts applies: their account discount, which is automatic. The coupon code is the one that stays out.
If something looks wrong
- The discount did not apply to an order. Check the customer record to confirm Discount (%) is above zero and that the order belongs to the right customer. If a coupon code was used on the same order, the account discount was skipped by design.
- A 100% discount order cannot be paid online. An order discounted to zero total shows: "This order can't be paid online. Contact the store to book it." That is normal. Take the booking over the phone or in person, or record the order yourself.
- The deposit charged looks wrong. Confirm which Security Deposit option is set on the customer record, and whether Waive deposit is checked. Percent and order-amount deposits follow the discounted total, so they can be lower than the deposit on a non-discounted order.
