Contact details and notes
Where a customer's phone, email, and addresses live, and where to write notes, since the customer record has no notes field.
Contact details
Open Customers and click the row. The Edit Customer dialog holds everything:
- Email and Phone
- Company
- Customer Type: Individual, Business, Wholesale, or VIP
- Subscribed to marketing emails
Change what you need and click Save.
Addresses
The form takes a primary address (Address Line 1 and 2, City, State, ZIP, Country) plus as many Additional Address blocks as you need. Add one per site for customers who take deliveries in more than one place, and remove any with the × on its block.
Note that an order carries its own delivery address, filled in on the order form. The customer's saved addresses are your reference; the address on the order is where that specific load is going. Changing one doesn't change the other.
Notes
The customer record has no notes field. There's nowhere on the customer form to write "always calls ahead" or "gate code 4471."
Where notes actually live today, all on the order:
- Internal Notes: for your team. Not shown to the customer.
- Customer Notes: what you'd read back to them.
- Line item notes: a note against one specific pool on the order.
So a standing fact about a customer has to be repeated on each order, or kept wherever you keep such things outside OnTote. It's a real gap; if it's costing you, tell us. That's how it gets prioritised.
