Create coupon codes
Set up discount codes, limit how and when they can be used, and see what they cost you.
A coupon code takes money off a storefront order. You make the code, decide what it is worth, and set the rules for when it applies. Customers type it in at checkout.
Coupon codes are created and managed by owners and managers. They are one-time discounts per order, and they do not stack with a customer's account discount. If a customer already has an automatic discount on their record, the code is refused with a message saying the two cannot be combined.
Turn coupons on first
Codes only work on your storefront if the feature is switched on.
1. Go to Settings, then Storefront, then Preferences.
2. Find the Coupons on your online store panel.
3. Check Enable coupons on your online store and save.
Until you do this, customers never see the Have a code? button at checkout.
Create a coupon
1. Go to Settings, then Storefront, then Coupons.
2. Click New coupon.
3. Enter a Coupon code. Codes are not case-sensitive at checkout (lowercase letters become uppercase, and only letters, numbers, and dashes are kept), so pick something short and readable.
4. Choose the discount type: Discount percentage for a percent off, or Discount amount (USD) for a fixed dollar amount off.
5. Under Coupon usage & limitations, set the rules:
- Check Specific dates if the code should only work when the full rental period falls between your From and Until dates. Leave it unchecked for codes with no rental-date restriction.
- Under Eligible items, pick All products or limit the code to Specific products (or collections).
- Set Total uses to cap how many times the code can be redeemed across all customers.
6. Open More options for the rest: an Internal note for your own records, a Redemption window (Starts and Ends dates for when the code itself is live), and Locations if it should only work at some locations.
7. Save.
The code is ready to use as soon as it is saved.
What customers see
At checkout, the customer clicks Have a code? and enters the code in the Promo code field, then clicks Apply.
- If the code is valid, the totals show a Discount −$X line, and the code appears as a chip the customer can Remove.
- If it is not valid, the page shows: "That code isn't valid for this order." This is the message for expired codes, used-up codes, codes that do not apply to the items in the cart, and codes the customer is not eligible for. OnTote does not explain which reason it was, so treat the message as "the code does not work on this order" and check the coupon's settings.
- If the page shows "Couldn't check that code, try again", the check itself failed. Ask them to retry before changing anything.
Where discounts show up
The Coupons list shows one row per code with Redeemed (how many times it was used) and Discounted (total dollars given away). Archived codes are hidden unless you check Show archived.
Click a code to open its detail page. The Redemptions section lists every completed redemption: Reservation, Customer, and Discount. Pending checkouts do not count as redemptions; a code counts only once the booking is confirmed.
If something looks wrong
- Code refuses every customer. Check the coupon's Status on the list: scheduled, expired, limit_reached, and inactive all block redemption. Also confirm Enable coupons on your online store is still on.
- Customers say the code did nothing. A code that requires Specific products or Specific dates silently does nothing for orders outside those limits. Widen the Eligible items or dates, or tell the customer why it does not apply.
- You want the code to stop without deleting it. Archive it from the detail page. Archived codes stop working and stay out of the list until you unarchive them.
